How the estimate develops


A useful estimate is built from the whole project.

High-level guidance can begin during a walkthrough. A dependable scope and estimate require more: confirming what you want, resolving questions with the right people, and understanding how one decision may affect the work around it.

We organize what we heard

The priorities, open questions, existing conditions, and differences between the current plans and the project you described are gathered into one working scope.

We review the details that shape feasibility

Plans, structural conditions, building systems, permitting requirements, selections, and other project-specific dependencies are reviewed with the appropriate design and technical partners.

We bring the right trades into the conversation

Vanguard may coordinate additional walkthroughs, document requests, and focused pricing questions so trade estimates reflect the work you actually want—not an outdated or incomplete version of it.

We test the estimate as a whole

Allowances, exclusions, assumptions, sequencing, and likely risk areas are considered together. This is where seemingly small decisions are checked for downstream effects on cost, schedule, and execution.

We review the path forward with you

When the work is ready, we schedule a conversation to walk through the estimate, answer questions, and explain the choices that will help the project move forward with greater clarity.

Timing with purpose

Enough time to understand what the number represents.

The goal is not delay. It is to give you a clearer basis for deciding what belongs in the project, what may need to change, and what the work is likely to require.

These are working expectations, not shortcuts or rigid promises. Complexity, changing information, and the resolution available in the plans can affect timing.

Communication remains steady while the work develops.

Updates follow meaningful milestones, questions, and developments. Even when the work is happening behind the scenes, Vanguard will not let more than a week pass without a text, email, or call.

Pre-Construction Stewardship

For larger or more complex projects, Vanguard can remain actively involved as the plans and decisions develop—coordinating with the architect, interior designer, engineer, city, specialty consultants, and trade teams so feasibility, budget impact, and execution stay in the same conversation.

This is not an upsell or a replacement for the design team. It is a high-touch, integrated service for projects that benefit from construction judgment before decisions harden.

The practical outcome

A coordinated, construction-ready decision package that culminates in a defined scope and fixed-price construction proposal.

Depending on the project, the package may include project-specific exclusions, allowances, assumptions, risk call-outs, permit-document preparation, trade input, and other supporting material required to move responsibly toward construction.

How it is proposed

At the estimate-review meeting, Vanguard may present two distinct proposals: the construction proposal and a separate, optional Pre-Construction Stewardship engagement.

How the fee is established

The service uses a fixed fee tailored to the estimated hours and coordination required for the specific project. Fee amounts are discussed privately rather than published as a generic package.
